Welcome to The Grand Plan EO. By accessing our website and engaging our services, you agree to be bound by the following Terms & Conditions. Please read them carefully before proceeding with any booking, consultation, or event planning engagement.
1. Definitions
- Company refers to The Grand Plan EO, a Wedding Planner and Destination Management Company (DMC) based in Bali, Indonesia.
- Client refers to any individual, couple, family, company, or organization engaging our services.
- Event refers to weddings, corporate events, private parties, celebrations, incentive trips, or any other activity organized by The Grand Plan EO.
- Vendor refers to any third-party supplier including venues, decorators, caterers, photographers, entertainers, transportation providers, accommodation providers, and related service providers.
2. Scope of Services
The Grand Plan EO provides professional event planning, coordination, destination management, logistics, vendor sourcing, guest management, event consultation, and on-site event execution.
The specific scope of work shall be detailed in the proposal, quotation, service agreement, or invoice approved by the Client.
Any services not explicitly included in the approved proposal may incur additional fees.
3. Consultation & Proposal
Initial consultations may be provided free of charge unless otherwise stated.
All proposals, quotations, event concepts, schedules, budgets, presentations, and planning documents remain the intellectual property of The Grand Plan EO until a service agreement has been executed and any required deposits have been paid.
4. Booking & Deposit
An event date shall only be considered reserved once:
- The Client has accepted the proposal.
- The required deposit has been paid.
- Any requested agreements have been signed.
Deposits are generally non-refundable unless otherwise stated in writing.
The Company reserves the right to release any tentative booking dates if payment deadlines are not met.
5. Payment Terms
Payment schedules will be outlined in the approved quotation or agreement.
Unless otherwise agreed:
- Deposit payment is required to secure the booking.
- Progress payments may be required during the planning process.
- Final payment must be completed before the event date.
Late payments may result in suspension of planning activities, vendor bookings, or event services.
Any bank charges, transfer fees, currency conversion fees, or international transaction fees shall be borne by the Client.
6. Vendor Selection & Third-Party Services
The Grand Plan EO may recommend vendors based on experience, quality, and suitability.
While we exercise reasonable care in selecting vendors, we do not own or operate third-party businesses and therefore cannot guarantee their performance, products, services, availability, or actions.
Any contracts entered into directly between the Client and vendors remain the responsibility of those parties.
The Company shall not be liable for vendor delays, cancellations, errors, negligence, or service failures.
7. Client Responsibilities
The Client agrees to:
- Provide accurate and timely information.
- Approve proposals, schedules, budgets, and designs within reasonable timeframes.
- Make payments according to agreed deadlines.
- Ensure all required permits, legal documents, travel documents, and personal requirements are fulfilled.
- Inform The Grand Plan EO of any special requirements, religious considerations, dietary restrictions, accessibility needs, or health concerns affecting the event.
8. Changes & Additional Requests
Any request that alters the original scope of work may be subject to additional fees.
Changes to:
- Guest numbers
- Venue selection
- Event schedule
- Event duration
- Design concepts
- Entertainment requirements
- Catering requirements
may result in revised pricing and additional charges from vendors.
The Company will notify the Client of any known additional costs before implementation whenever reasonably possible.
9. Event Day Management
The Grand Plan EO will provide professional coordination and management during the event based on the agreed service package.
The Company reserves the right to make reasonable operational decisions on-site in response to:
- Weather conditions
- Venue restrictions
- Safety concerns
- Vendor issues
- Government regulations
- Unexpected operational circumstances
to ensure the best possible outcome for the event.
10. Force Majeure
The Company shall not be liable for delays, interruptions, cancellations, or failure to perform due to circumstances beyond reasonable control, including but not limited to:
- Natural disasters
- Earthquakes
- Floods
- Fires
- Volcanic activity
- Government restrictions
- Pandemics
- Epidemics
- Civil unrest
- Strikes
- Transportation disruptions
- Utility failures
In such circumstances, the Company will make reasonable efforts to reschedule or mitigate disruptions where possible.
11. Cancellation Policy
Cancellation requests must be submitted in writing.
Unless otherwise specified in the signed agreement:
- Deposits are non-refundable.
- Payments already made toward third-party vendors are subject to each vendor’s cancellation policy.
- Any planning work already completed remains payable.
The Company reserves the right to deduct administrative costs, planning fees, and vendor commitments already incurred.
12. Limitation of Liability
To the fullest extent permitted by applicable law, The Grand Plan EO shall not be liable for:
- Indirect losses
- Consequential damages
- Loss of profits
- Loss of enjoyment
- Travel disruptions
- Weather-related issues
- Vendor failures
- Guest misconduct
- Personal property loss or damage
The Company’s total liability shall not exceed the amount actually paid by the Client for services directly provided by The Grand Plan EO.
13. Photography & Marketing Usage
Unless otherwise requested in writing by the Client, The Grand Plan EO may use photographs and videos from the event for:
- Portfolio purposes
- Website galleries
- Social media
- Marketing materials
- Promotional presentations
The Company will always endeavor to use such materials respectfully and professionally.
14. Intellectual Property
All planning documents, proposals, concepts, designs, timelines, presentations, budgets, graphics, website content, and branding materials remain the intellectual property of The Grand Plan EO unless otherwise agreed in writing.
Unauthorized reproduction, distribution, or commercial use is prohibited.
15. Privacy
Personal information submitted through our website, contact forms, consultations, or event planning process will be used solely for event planning, communication, service delivery, and business operations.
We do not sell personal information to third parties.
Information may be shared with relevant vendors solely for purposes directly related to the event.
16. Governing Law
These Terms & Conditions shall be governed by and construed in accordance with the laws of the Republic of Indonesia.
Any disputes arising from these Terms & Conditions shall first be resolved through good-faith negotiation between both parties. If resolution cannot be achieved, disputes shall be subject to the jurisdiction of the courts of Indonesia.
